Do I still need a bookkeeper if I use Gusto?

Short answer: Yes, for most businesses. Gusto and its competitors run payroll and file the associated returns very capably. What they do not do is keep your books — and the handoff between the payroll system and the accounting file is one of the most common places we find errors.

Payroll platforms solve a real problem well. They calculate withholding, pay your people on time, file the federal and state returns, and produce W-2s at year end. If you have employees, using one is a good decision.

But payroll is one subsystem of your finances, and the accounting file is where everything has to come together. Two things routinely go wrong at the seam.

The first is how payroll lands in the books. A payroll run is not a single expense — it is wages, employer taxes, withholdings held and then remitted, and any benefit deductions, each belonging in a different account. Many integrations post it as one lump sum or a rough split. The P&L still balances, so nothing looks broken, but the wage figure is wrong and the liability accounts drift out of true. This surfaces at year end when payroll totals do not tie to the filed returns, and untangling it then is far more work than posting it correctly each month.

The second is everything payroll does not touch. Your bank reconciliations, your credit-card categorization, your loans and owner draws, your sales tax, your B&O — none of that is Gusto’s job. Those are still yours or your bookkeeper’s.

There is a narrow case where payroll software alone is enough: a single-owner business with no other employees, one bank account, and very few transactions. If that is you, say so on a consult and we will tell you honestly.

For everyone else, the sensible arrangement is to keep the payroll platform you like and have a bookkeeper make sure it lands in the books correctly.
